Order statuses

Published

Every order carries two independent statuses. Reading them as one is the most common source of confusion.

Whether the money arrived. It comes from the sales channel, and Fiftify does not change it.

StatusMeaning
PendingPlaced, not paid yet
PaidPayment captured
RefundedMoney returned to the buyer
CancelledThe order was called off

Whether the goods left. This one Fiftify owns, and it moves as your team works.

StatusMeaning
UnfulfilledNothing has shipped
Partially fulfilledSome units shipped, some outstanding
FulfilledEverything shipped
CancelledFulfillment was called off

A normal order runs Paid + Unfulfilled → picked → packed → shipped → Paid + Fulfilled.

Partially fulfilled is the interesting one. It appears when an order ships in pieces — usually after a short pick, where the units that were in stock go out now and the rest follow later. The order stays open until the last unit ships.

Payment and fulfillment are independent on purpose:

  • Paid, unfulfilled — the everyday state of a fresh order waiting for a picker.
  • Pending, unfulfilled — money has not landed. Most teams do not pick these.
  • Refunded, fulfilled — it shipped and was refunded afterwards; the goods are gone and the money is back with the buyer.

Home and the warehouse dashboard both key off unfulfilled — the count of orders still owing goods. That number falls when orders ship, not when they are picked, so a busy picking day does not show up there until the parcels leave.
